1.1 Mandatory Attendance:
Consistent attendance is crucial for student success at Vephla University. Our live, expert-led sessions offer dynamic, real-time interaction that helps students fully understand and engage with course content. Missing classes without valid reasons can cause students to fall behind, which may impact their overall performance and progress in the course. Students who miss too many classes may be deferred to the next cohort to help them better catch up on missed lessons. Deferment decisions are made at the discretion of the mentor and are designed to ensure students have a solid grasp of the material before advancing.

1.2 Certification and Attendance:
Attendance is not only crucial for ongoing learning but also for certification. To be eligible for certification, students must maintain a certain level of attendance. Missing key sessions may result in ineligibility for the final certification test, which is critical for graduating from the program. Students who fail to meet the attendance requirements risk deferment and may need to retake lessons with the next cohort before they can be certified.

1.3 Live Participation and Engagement:
Active participation is expected during live sessions. Students are encouraged to ask questions, engage in discussions, and interact with their peers and mentors. This interactivity is a key component of our practical learning approach, which equips students with real-world skills. Engaging fully in each session is essential for mastering the material and progressing through the course.

Section 2: Section 2: Deadlines and Assessments

2.1 Importance of Meeting Deadlines:
Timely submission of assignments, projects, and assessments is fundamental to staying on track at Vephla. Every task is designed to build on previous lessons, and missing a deadline can disrupt this progression. Students are expected to adhere strictly to all deadlines unless otherwise stated by their mentors. Missing deadlines without an approved reason may result in deferment to a later cohort, giving students additional time to catch up, but delaying their progress and graduation.

2.2 Consequences of Missing Deadlines:
Students who consistently miss deadlines may face academic consequences, including deferment. This policy is in place to maintain structure and ensure that all students progress through the course at a manageable pace. Deferment for failing to meet deadlines may result in students being unable to graduate with their original cohort and potentially having to pay a deferment fee if they defer to a new cohort after their current one has graduated.

2.3 Certification Test Phases:
Vephla University employs a two-part certification process to evaluate student progress:

  • Progress Test: This test occurs midway through the course and assesses students' understanding of the material up to that point. It is designed to ensure that students are keeping pace with the course and mastering the required skills.
  • Final Certification Test: At the end of the course, students will take a comprehensive certification test. Passing this final test is mandatory for receiving certification. Failure to attend or pass the certification test may result in deferment, and students will need to wait for the next available test session.

Missing either of these crucial assessments can significantly delay course completion and certification.

Section 3: Study Pages Conduct

3.1 Use of Study Pages for Academic Purposes:
Vephla’s study pages are dedicated to academic discussions and learning. Students are prohibited from using these pages for personal complaints, unrelated discussions, or technical issues. Posting personal concerns or complaints on study pages, even if valid, is disruptive and can negatively affect other students’ learning experiences. Any personal issues, whether academic or technical, must be directed to the support team at support@vephlauni.com. Persistent misuse of study pages may lead to escalation and deferment to ensure that the learning environment remains focused and free from distractions.

3.2 Reporting Technical Glitches:
If a student encounters a technical issue, they must contact the support team directly rather than posting the problem on the study pages. Technical glitches can be resolved quickly by the support team, ensuring minimal disruption to the learning experience. Using the study pages to report these issues is prohibited, as it distracts from the academic focus.

3.3 Prohibition on Sharing External Learning Materials:
To ensure a structured and coherent learning process, students are not allowed to share external learning materials or resources, such as third-party tutorials, on the study pages. Sharing such materials can lead to confusion and “tutorial hell,” where students become overwhelmed by conflicting information. Vephla’s curriculum is carefully curated to provide a clear and focused learning path, and external resources may interfere with this. Sharing unauthorized materials can result in disciplinary action or deferment.

Section 4: Professionalism and Respectful Communication

4.1 Respect for Mentors and Peers:
Students must communicate respectfully with mentors and peers at all times. Vephla University fosters an inclusive and professional learning environment where every individual is treated with respect, regardless of their background or skill level. Rude or disrespectful communication towards mentors is not tolerated. Any instance of such behavior may result in immediate suspension or deferment, with no tolerance for disrespect.

4.2 Peer-to-Peer Support and Individual Accountability:
Collaboration among students is encouraged, but every student is responsible for raising their own concerns and managing their own progress. Students are not allowed to act on behalf of others or speak for their peers. If a student has a concern, they must communicate it directly with the support team or mentor. This ensures that all issues are handled promptly and professionally, without confusion or delays.

4.3 Focused Academic Discussions:
All communication on study pages must remain relevant to the course material. Off-topic discussions or personal conversations are not permitted. Students are encouraged to engage actively with the course content, ask questions, and discuss the material, but personal issues or unrelated discussions should be handled privately through appropriate channels.

Section 5: Support Channels and Handling Issues

5.1 Directing Issues to Support :
Any issues related to course access, technical problems, or personal concerns must be directed to support@vephlauni.com. This ensures that concerns are addressed efficiently without disrupting other students. Posting issues on study pages will not only distract from the learning process but may also lead to disciplinary action, including deferment.

5.2 Specialized Departmental Support:
Each school within Vephla (e.g., Design School, Engineering School) has its own specialized support team. Students should reach out to the appropriate support department depending on their course to ensure they receive the best possible assistance.

Section 6: Certification and Graduation Process

6.1 Graduation Standards and Requirements:
Graduation at Vephla University is based on fulfilling academic and professional standards as determined by the mentors. In addition to passing both the Progress Test and Final Certification Test, students must meet additional standards set by their mentors, which may include portfolio completion, project submissions, and other course-specific requirements. Failure to meet these standards may result in deferment and a delay in graduation.

6.2 Certification and Graduation Code:
To officially graduate and receive certification, students will be issued a unique graduation code. This code signifies that the student has met all the requirements set by their mentors and the institution. If these requirements are not met, the mentor may decide that the student must defer their graduation until they have completed the necessary work.

Section 7: Deferment and Associated Fees

7.1 Deferment Policy:
Students who are deferred before the end of their course due to missed deadlines, attendance issues, or failure to meet course standards will not be required to pay a deferment fee if they are deferred to complete their work within their original cohort. However, students who defer to a new cohort after their original cohort has graduated may be required to pay a deferment fee to cover the additional administrative and instructional costs associated with joining a new cohort.

7.2 Certification Test Deferment:
Missing a certification test, either the Progress Test or the Final Certification Test, may result in deferment to the next available test date. This delay can impact a student’s ability to graduate on time, and students may be required to wait until the next cohort takes the certification test. Multiple missed tests or failure to pass the tests after deferment may result in additional fees or retesting requirements.

Section 8: Guidelines on Extra Learning Sessions

8.1 Unauthorized Extra Learning Sessions:
Students are not allowed to organize or participate in unauthorized extra learning sessions outside of the structured learning experience provided by Vephla. All learning activities must be led by approved mentors to ensure quality and alignment with the course curriculum. Unauthorized sessions can lead to confusion and disrupt the structured progression of the course.

8.2 Social Media and Portfolio Building:
Vephla encourages students to share their learning journey on social media and actively build their professional portfolios as taught during the course. Engaging with these opportunities is critical for personal branding and career advancement. Failure to participate in portfolio building, as outlined by your mentor, may result in sanctions or deferment as it is considered a key component of your academic and professional progress.

Section 9: Rights, Restrictions, and Use of Services

9.1 Access to Services:
By enrolling at Vephla University, students are granted access to a wide range of services, including live sessions, recorded classes, career support, and internship opportunities. These services are available to help students maximize their learning experience and achieve their career goals.

9.2 Rights and Responsibilities:
Students have the right to a respectful, inclusive, and supportive learning environment. In return, they are expected to respect the rights of others, participate actively in their education, and uphold the policies and values of Vephla University. Failure to do so may result in disciplinary action.

Section 10: Refunds

10.1 Refund policy:
At Vephla Uni, we are committed to maintaining transparency and fairness in our refund policy. Students are eligible for a full refund only if they have not attended any classes, accessed student materials, logged into the student portal, or used any of our systems or resources. Participation in even a single session or access of any course resource will disqualify the student from receiving a full refund.

In exceptional cases, students who have attended fewer than two lessons may submit an appeal for a partial refund. To do so, they must email the Registrar’s Office at registrar@vephlauni.com, copying the Finance Team at finance@vephlauni.com. If approved, the student will receive a 40% refund of the fees paid. Please note that this exception is granted solely at the Registrar's discretion, and approval is not guaranteed.

Students who have attended two or more sessions are not eligible for any refunds under any circumstances.

Refund requests undergo a review process managed by the Registrar's Office, which typically takes up to four weeks. Kindly Note that Decisions made following this review are final and cannot be appealed further hence kindly be sure to think through the decision before submitting your refund form.
